FRONT OFFICE COORDINATOR

KENDELL is a material supplier providing high quality products, services and application solutions to the commercial construction industry. We are looking for a Front Office Coordinator to join our Mendota Heights, MN office.

Position Summary:

Work directly with the Facility Manager to support all facility functions and activities that service the local market and ensure alignment with overall organizational processes and objectives.

1. Maintain daily office functions:

  • Manage the front desk: Answer phones and transfer calls

  • Greet and direct walk in customers, vendors, etc.

  • Distribute daily mail, faxes, interoffice shipment paperwork

  • Collate paperwork/product for interoffice shipments including all invoices, checks, charge statements, packing slips, contracts, etc.

  • Monitor office supplies and submit office supply orders

  • Send interoffice shipment to Accounting office and other items as needed to other facilities

2. Operational Team Support:

  • Review Purchase Order Acknowledgements for quantity, description or cost discrepancies and return to Purchaser for review

  • Review Ship Acknowledgements and update the PO shipment date in ERP system (Navision)

  • Log Purchase Order variances and file completed acknowledgments

  • Compile weekly reporting PowerPoint for Managers with information and template provided

3. Projects:

  • Complete Administrative focused projects in support of facility and management needs

Daily internal office operations are completed in an efficient and effective manner

Superior customer service, both for external customers and internal employees

Complete all routine daily tasks with accuracy and professionalism within the established time frame

Consistent support of work flow between departments and within facility

Complete all tasks with accuracy and within the established time frame

Prioritization of tasks based on urgency and business need
